The short answer

Weave is a phone and patient-communication platform. If you want to leave the platform, your alternatives are other phone systems. If the real problem is calls nobody picks up, you may not need to leave at all. An AI receptionist can take the calls your phones forward to it, and the rest of your Weave setup stays as it is.

How we built this comparison

This is Orbit Online's site, and Orbit is one of the options. We describe Weave, Smith.ai and Ruby only by what their own websites say, checked on November 6, 2026, and we link to each source so you can check us.

We don't list prices, ours or anyone else's. Prices change often, and many companies in this category quote each practice.

First, name the problem

Practices look for Weave alternatives for different reasons, and each one leads somewhere different.

If the problem is…Look at
The phone platform itself: the bill, the contract, the featuresAnother phone platform. Option 4 has a checklist.
Calls ring out while your team is with patientsAn AI receptionist on overflow, or a human answering service
After-hours and weekend calls go to voicemailAn AI receptionist on your after-hours route
Calls get answered, but nothing's booked until someone calls backA receptionist that writes into your practice-management system

Option 1: Keep Weave, and add an AI receptionist behind it

Your phone system decides which calls reach the AI receptionist. Start with the calls that would have gone to voicemail: after hours, and calls that ring out while your team is with patients. You set those rules in your phone system, and nothing else about your Weave setup has to change.

With Orbit, you forward the calls you want covered: overflow, after hours, or all of them.

One warning from experience: a forwarding rule can look right and never fire. Test every path before you trust it. The checklist is further down.

Option 2: Weave's own AI Receptionist

If you're staying on Weave, look at its AI Receptionist too. It answers calls and texts, books appointments, and hands calls that need a person to your staff. Weave's plans page lists it as early access, and its AI Receptionist page says booking is for qualified dental practice-management systems (AI Receptionist, plans). Its AI Receptionist page also marks some features as coming soon, including payments over the phone and switching languages in real time.

Weave also bought TrueLark, an AI front-desk company, in 2025 (press release).

The upside: it lives inside the system your team already uses.

Ask Weave: does your practice-management system qualify for booking, and what does the caller hear when a booking can't go through?

Option 3: A human answering service

If you want a person's voice, a virtual receptionist service can take your overflow. For a dental office, check HIPAA first. Ruby offers a HIPAA service with a business associate agreement (Ruby HIPAA). Smith.ai's FAQ says it isn't HIPAA compliant and handles dental calls only when no protected health information is involved (Smith.ai FAQ).

Option 4: A different phone platform

If the platform itself is the problem, compare other phone systems built for healthcare offices. We don't sell phone systems, so we won't rank them. Ask each one:

  • Does it show the patient's record when a call comes in, for your practice-management system?
  • Can it forward calls to an outside number after a set number of rings, and on a schedule after hours?
  • How long is the contract, and what does leaving it involve?
  • Can you keep your phone numbers, and how long does moving them take?

Where Orbit Online fits

  • What it is: An AI receptionist built for dental practices. You don't configure anything. We build it, launch it, and manage it for you.
  • Where bookings go: We integrate directly with three practice-management systems: Dentrix Ascend, Open Dental and Denticon. That's direct access as an approved developer, not a third-party connector. On a different system? If we don't integrate with it properly, we'll tell you before you buy.
  • On the call: It offers only the times your own rules allow, by provider, appointment type, chair and location. It doesn't speak a confirmation your schedule didn't accept. If the schedule refuses a booking, the caller hears that a person will call back.
  • What it won't do: No clinical answers, no treatment quotes, no invented appointments. In an emergency, it advises calling 911. It tells any caller who asks that it's an AI.
  • Compliance: HIPAA compliant and SOC 2 compliant. A business associate agreement is available.

Two offices, one month: In September 2026, our AI put 24 appointments on a two-office Connecticut practice's schedule, from 120 calls it answered. Source: our own call and booking records.

Best for: practices that like their phones but lose the calls nobody's free to take.

Not the right fit if: you're shopping for a new phone system or a patient-messaging platform.

Getting started: Most practices are live on their phones within 7 days. Booking connects once your practice-management system is linked.

Test the forwarding before you trust it

These five calls take about twenty minutes. Run them on any setup, Weave or not.

  1. Call during open hours and let it ring out. The forward should fire after the ring delay you set.
  2. Call after you close. The after-hours route should reach the receptionist, not voicemail.
  3. Try every option on your phone tree, including pressing nothing at all.
  4. Book a visit through the receptionist, then find it in your own schedule.
  5. Ask, "Is this a real person?" An honest AI says it's an AI.

If any of them reaches voicemail, fix the rule before you go live.

When to stay on Weave as it is

If your phones, texting and reminders work and your team likes them, don't switch platforms over unanswered calls. That's a coverage problem, and you can fix it behind the phones you have.
