Here is what setup actually looks like after your demo, step by step. You don't need an IT person, you don't install anything, and you don't replace your phone system. Your part is mostly answering questions about how your office runs.

What to Have Ready

The fastest setups are the ones where this information is ready before the kickoff call. None of it is technical:

  • Practice name, address and parking details (the AI gives callers directions)
  • Office hours, including lunch closures, half-days and holiday schedules
  • Providers and what each one sees (Dr. Smith does implants, hygiene runs on two chairs, and so on)
  • Appointment types and lengths: cleanings, new patient exams, emergencies, consults
  • Insurance plans you accept; the most common ones are enough to start
  • Which practice management system you use: Dentrix Ascend, Open Dental, Denticon, or another system (ask us about yours)
  • The questions your front desk answers ten times a day: new patient forms, emergency protocol, payment options

Step 1: A Kickoff Call

We start with a short call to learn how your office handles the phone today: who answers, what gets transferred, what goes to voicemail, and which calls you never want the AI to handle on its own. This is where we decide how the AI should sound and what it should do in each situation.

Step 2: We Connect Your Practice Management System

This is the step that lets the AI book real appointments instead of just taking messages. We connect to your schedule through your system's approved integration and walk you through the one or two authorizations only your office can give. Once connected, the AI can see real openings, check whether a caller is an existing patient, and book into the right provider's schedule. It does not read clinical notes.

If your office runs an on-premise server rather than a cloud system, your IT contact may need to help with one step. We tell you exactly what to ask them for.

Step 3: We Build Your AI Receptionist

Using what you told us on the kickoff call, we build the receptionist around your practice:

  • Name, voice and greeting: "Thank you for calling Bright Smile Dental, this is Alex, how can I help you?"
  • Practice knowledge: hours, location, providers, services and insurance, so it answers the everyday questions correctly
  • Scheduling rules: which appointment types it can book, how long each takes, and which providers handle what
  • When to hand off: dental emergencies, upset callers, billing disputes, or anything you want a person to handle. The AI transfers the call or takes a detailed message, depending on what you prefer.

Step 4: You Test It Before Patients Do

Before any patient reaches it, you get a number to call so you can talk to your AI receptionist the way a patient would. Try the calls your front desk gets every day:

  • "I'd like to schedule a cleaning." Does it offer real open times?
  • "Do you accept Delta Dental?" Is the answer right?
  • "What are your hours on Saturday?" Is it accurate?
  • "I'm having a dental emergency." Does it hand off the way you want?

Forwarding is a setting on your phone system, whether that's a VoIP service like Weave, Mango or RingCentral, or a traditional line through your carrier. We give you the number to forward to and walk your office through the setting.

After Go-Live: We Keep Managing It

Going live is not the end of setup. In the first weeks we review your calls and keep tuning the receptionist:

  • Questions it couldn't answer get added to what it knows
  • Bookings are checked against your schedule to confirm they landed correctly
  • Calls that should have been handed off sooner get new rules
  • Your team's feedback goes straight into the next adjustment
